ABRSM Theory Exams (Written Test) - 17 October and 18 October 2020
 
Instructions to Applicants

 

IMPORTANT NOTICE

In light of previous examination cancellation caused by Covid-19, additional sessions have been planned to accommodate extra demand for the ABRSM Theory Examination in October 2020. Five sessions have been tentatively scheduled for the ABRSM Theory Examination on 17 October and 18 October 2020 as follows:

It should be noted that the examination session to be allocated is subject to the total number of candidates registered and the availability of examination centres. Examination date/time and centre allocation are generated by computer randomly. All candidates are required to be present for examination at the date/time & centre specified on the admission forms. Under no circumstances will special arrangement be made for individual candidates.

NOTE: It is the applicants' responsibility to ensure that candidates presented will be available for the Theory examination no matter which session has been allocated.

 

GENERAL INFORMATION
 
1. For each candidate you are entering, please SCAN and save the image file(s) of the following before you start:
i.  a official and valid candidate's identification document bearing the name in English, e.g. Hong Kong Identity Card/Passport/Birth Certificate (for verification purposes only)

The image files should be in JPEG/JPG/GIF/BMP/PDF/TIFF format, each not exceeding 1MB (100dpi in black and white JPEG format is recommended).
2. Applicants will be asked to make payment online as part of the registration process. The Authority cannot accept any responsibilities for unsuccessful registration because of technical/network failure.
3. Please note that for on-line registration you may enter a maximum of 30 candidates each time. In order to facilitate applicant to input candidates' information, applicant can choose to upload a template or compatible format file with the pre-filled information of a maximum of 30 candidates.  After prefilling the application information, the applicant can continue to upload the image files and pay the examination fee. 
4. Candidates will be allocated at random by computer. All candidates are required to be present for examination at the examination date/time & centres specified on the admission forms.
5. Personal data of applicants/candidates are used by the HKEAA and the Examination Board for delivery of examination and assessment services. Whether you provide the requested personal data is voluntary. However, if you fail to provide all the data, or if any of the data are inaccurate or incomplete, the HKEAA may not be able to accept your entry or provide all or part of the examination and assessment services. The personal data submitted may also be used for:
i. assisting tertiary institutions and other government/public organisations in their processes for admissions purposes;
ii. assisting tertiary institutions and other government/public organisations in respect of their requests for information in granting scholarships;
iii. assisting tertiary institutions and other government/public organisations to confirm the candidates' eligibility for financial assistance or other forms of subsidization, in which case, the necessary personal data of the candidates may have to be disclosed to the concerned organisations for verification;
iv. certifying candidates' examination results in response to legitimate requests;
v. processing any refund or payment in relation to the examination;
vi. conducting educational research and analysis in an anonymous format in which the identities of candidates are not traceable; and
vii. marketing the services and products of the Examination Board (including examination services, courses, events, publications, and other examination materials or resources) subject to the consent of the applicants/candidates.

The HKEAA may also transfer the personal data of applicants/candidates to third parties for use for the above purposes or other directly related purposes, including government/public organisations, schools and educational institutions, banks (for processing refund or payment), and service providers providing various administrative or technical services to facilitate the delivery of the examination and assessment services including but not limited to data punching, registration process, despatch of examination documents, and the capture, disposal or other processing of data.

In compliance with the Personal Data (Privacy) Ordinance, access to all personal data will be made available, on payment of a fee, to anyone who can establish his/her right to be informed of such data as are retained by the HKEAA. Please also note that applicants'/candidates' personal data/correspondence/other information received by the HKEAA may be transferred to the Examination Board concerned for delivery of examination and assessment services and for any of the abovementioned purposes or other directly related purposes. In general, upon completion of an examination or examination series and all the connecting examination services, the HKEAA will transfer all such data to the Examination Board who will then assume full control of such data. By then, applicants/candidates should approach the Examination Board direct for their personal data/information handling policies if necessary.
If you have given consent but wish to withdraw your consent for your personal data to be used for this purpose, please send a letter of request to the Authority.
6. Blind or partially sighted candidates who require Braille or enlarged question papers should submit a written request and doctor's certificate to the Hong Kong Examinations and Assessment Authority separately.  These documents should reach the Authority within three working days upon submission of registration.  Additional charges may be levied on candidates requiring any special arrangements.
7. The examination will be conducted on 17 October and 18 October 2020.  Five sessions have been tentatively scheduled (1st session: 17 October 2020 9:30am; 2nd session: 17 October 2020 1:00pm; 3rd session: 17 October 2020 4:00pm; 4th session: 18 October 2020 1:00pm; 5th session: 18 October 2020 4:00pm).
 
APPLICANT (AGED 18 OR ABOVE) INFORMATION NOTES
 
Please note that the candidates presented by teacher/studio/school/others as applicant can directly make application to the Authority for change of applicant (i.e. change the applicant to candidate/parent/guardian), subject to the payment of the related fee.
 
 
The term 'applicant' here refers to the person who accepts the responsibilities for:
1. reading and undertaking to abide by these Exam Regulations, ensuring that those connected with the exam are aware of relevant matters;
2. entering candidates, ensuring the accuracy of the information supplied, including name spellings, grades and exam subjects, and any specific needs;
3. explaining to the candidates that:
 
i. they may enter themselves for examinations or may be entered by a parent/guardian, a school, or a teacher of music;
ii. the applicant's name will appear on the candidate's certificate if awarded;
4. notifying the candidate of the exam date, time and venue;
5. receiving all communications regarding the entries made (including exam mark form/certificate) and disseminating all such communications to the candidates as effectively as possible.

Relationship with candidate
Please select the relationship between the applicant and the candidate(s) entered for the examination. If you are the candidate himself/herself, please choose 'CANDIDATE'.

Title/Surname/Given name/Given name first
Please select the title, then enter the surname and given name. The applicant's full name will be shown on the grade certificate as being the person who presented the candidate(s) unless you indicate in Section 2 that the name of an institution (e.g. a school or a studio) should be shown instead. If given name appears first on your identification document, please choose 'YES'. If you need more space for 'Given name', please make use of the space of 'Surname' by writing part of your given name in the 'Surname' field and vice versa.

HKID card no./Other official identification document no.
If you are a teacher, parent or guardian, please enter the applicant's HKID card number. If you do not have a HKID card, please then enter the other official identification document number. You may select "Not applicable" if you are not willing to provide this information.

Telephone no./Mobile phone no./Fax no./E-mail
Please give your daytime contact telephone number, including mobile phone number, fax number and e-mail address. An acknowledgement will be sent to you via e-mail following successful registration and payment.
 
SCHOOL/STUDIO INFORMATION NOTES
If the candidate(s) is presented by an institution (e.g. a school or a studio), please enter its full name in this section. The institution will then be named on the certificates of the candidates presented. If you leave this section blank, the applicant's name as given in Section 1 will be shown on the certificate.

CANDIDATE INFORMATION NOTES

Surname/Given name/Given name first
Please ensure that the name entered agrees with that on the candidate's Hong Kong Identity Card, Passport or Birth Certificate. If given name appears first on the identification document to be presented, please choose 'YES'. If you need more space for 'Given name', please make use of the space of 'Surname' by writing part of your given name in the 'Surname' field and vice versa.

Date of birth
Please select the day and month for the date of birth of candidate, and then enter the year.

HKID card no./Other official identification document no.
Please enter the candidate's Hong Kong Identity Card number. If he/she does not have a HKID card, please then enter other official identification document number.

Candidate's contact telephone no.
Please enter the candidate's daytime contact telephone number, preferably mobile phone number. This should be different from the one given in Section 1 unless the candidate is entered by himself/herself/parent/guardian.

Grade
Please choose the appropriate grade, i.e. 1,2,3, etc.

Question paper
Please choose 'English and Traditional Chinese translation' if the candidate requires to be given the Traditional Chinese translation of the question paper. Please note only Traditional Chinese versions will be provided. This choice must be made at the time of registration. Candidates may answer the examination questions in Chinese (Traditional or Simplified Chinese), in English or partly in Chinese and partly in English. Answers must be made on the English question papers.

Preferred Area
Please select the area where you would prefer your candidates to be examined. Your preference will be considered if given here. As the number of candidates and the capacity of examination centres in a particular area never exactly match, there can be no guarantee that your preference will be met. In such case, candidates will normally be allocated at random to examination centres in other areas by computer (e.g. Candidates choosing HK area may be allocated to KLN area ; candidates choosing NTE/NTW area may be allocated to KLN area). All candidates are required to be present for examination at the examination centres specified on the admission forms.
 
DOCUMENTS REQUIRED NOTES
Details are given in 'General Information' point 1. Image files of identification documents will be destroyed by the Authority after verification.
 
CONFIRMATION NOTES
All fees paid are not refundable and not transferable from one examination to another or from one candidate to another or for any other purposes. No entry will normally be accepted after the registration period.

Note:  Please ensure the information entered here is accurate, including candidates' name spellings and grades. Once the registration data have been confirmed, a supplementary fee will be levied if the application for late entry/late payment/change of grade/change of applicant is approved.

The applicant agrees that the candidate(s) presented by him/her can directly make application to the Authority for change of applicant (i.e. change from teacher /studio /school / others as applicant to candidate/parent/guardian as applicant). The applicant accepts the responsibility for distributing examination related documents to candidate(s) entered by him/her as effectively as possible.

The applicant accepts that neither the ABRSM nor HKEAA shall be responsible for any non performance of duties where such non performance has been caused by an act of God, labour strike, natural disaster, governmental action or intervention, riot, or any other cause not reasonably foreseeable and beyond the reasonable control of the ABRSM or HKEAA.

The applicant understands that the HKEAA, including their contractors and subcontractors, shall not be liable to anyone claiming for any damages which are caused by, arising from or otherwise related to the failure of staff members, examination personnel or the examination centres to comply with the examination regulations, policies or procedures.

The applicant should click 'Confirm, Submit Form and Go To Make Payment' after having checked the correctness of the information entered.  This constitutes an undertaking to abide by the current regulations of ABRSM listed in ABRSM Exam Information & Regulations 2020 that are applicable to the ABRSM Theory Examinations held in Hong Kong, and the conditions set out in the 'Instructions to Applicants', including those in relation to the use of my personal data.  

Note: If the information and documents submitted are inaccurate or incomplete, the registration may not be accepted by the Hong Kong Examinations and Assessment Authority even though payment of examination fee(s) has been made.
 
ON-LINE REGISTRATION

On-line registration is available at online.hkeaa.edu.hk from 27 July 2020 (8:30 am) to 13 August 2020 (5:30 pm).

Late entry is available at online.hkeaa.edu.hk from 14 August 2020 (8:30 am) to 20 August 2020 (5:30 pm). A supplementary fee (HK$451.00) will be levied if an application for late entry is accepted.

ADMISSION FORM
Admission forms will be sent to the applicants by post. Applicants who registered the examination by online registration may login their accounts at the Registration Home Page to download the admission forms. Applicants who have not received their candidates' admission forms 7 days before the examination date should contact:

RELEASE OF EXAMINATION RESULTS AND DESPATCH OF CERTIFICATES
Examination results will be sent by post to the applicants approximately two months after the date of examination. Applicants who registered the examination by online registration may login their accounts at the Registration Home Page to view the examination results. Certificates of successful candidates will be sent by registered post/local courier to the applicants about three months after the date of examination. Applicants who have not received their candidates' certificates should contact ABRSM Team within five months after the issue of certificates.  Otherwise, the certificates will be regarded as successfully received by the applicants.  Uncollected certificates will be destroyed five months after the issue of certificates. After that, requests for uncollected certificate will be regarded as applications for replacement of certificates and supplementary fees will be levied.

The examination data including entry records, question papers, answer scripts and results, if any, will normally be destroyed and erased from the computer system six months after the examination date. Therefore, all examination documents including admission forms and mark forms, if any, cannot be re-issued after the data have been destroyed/erased.
 
CHANGE OF ADDRESS
Applicants should inform ABRSM Team in writing if their address or contact telephone number has been changed. It is not necessary for the candidates to notify the Authority of their change of addresses.
