Notes to Applicants
 

Please read and ensure that you have understood these instructions before submitting the registration. The Hong Kong Examinations and Assessment Authority (HKEAA) will not be held responsible for incorrect entries.

 
1. General Information

Pearson English International Certificate – Young Learners (formerly known as PTE Young Learners) provide a fun, stress-free test for age 6-12 children; whilst Pearson English International Certificate (formerly known as PTE General) is a comprehensive and coherent assessment program that covers all the Common European Framework (CEF) level which provides an internationally recognized English test for teenagers and adults. Candidates may visit Pearson's website at http://www.pearsonpte.com  or  www.pearson.com.hk/PTE for more details information of the Examination or contact Pearson Language Tests Hong Kong office at 3181 0123.

 
2. Registration

Candidates are required to submit the registration via the HKEAA Online Registration System (online.hkeaa.edu.hk) during the registration period. For school candidates, they should first obtain the school code through their schools and enter the school code during the online registration. Candidates should upload the image of their valid Hong Kong Identity Cards or other identification documents* for checking at the time of registration. Candidates must complete the online registration and settle the examination fees on or before 19 April 2024 (5:30pm)

*with effect from 31 January 2021, British National (Overseas) (BN(O)) passport cannot be used as any form of proof of identity in Hong Kong. Applicants may use alternative form of valid and acceptable identification document as proof of identity for the registration.

Online Registration

Before submitting an online registration, applicants are required to create their own accounts with a valid email address. After the applicant account is activated, applicant should login their account at the Registration Home page (online.hkeaa.edu.hk) and start registration. Applicants submit their entries by inputting the information required through the online examination registration system during the registration period.  A copy of the candidate's Hong Kong Identity Card / Birth Certificate / valid passport / other identification document* should be uploaded on the system (For the purpose of verifying the registration information only, and will be destroyed after the application procedures are completed). The examination fee must be paid online during registration.  The payment system only accepts credit cards with "Verified by VISA" or "MasterCard Secure Code" function. Please ensure that the payment fee does not excess the transaction limit of the credit card. The HKEAA will not be held responsible for unsuccessful registration because of technical / network failure. Upon successful application and payment, applicants can log in to their own accounts to view the registered examination(s).

Access Arrangement

Candidates requesting for access arrangements should submit a written request together with a medical report to the HKEAA by email (ie@hkeaa.edu.hk) at the same time of registration. Completed application must be submitted to the HKEAA on or before 19 April 2024. NO late application will be accepted by the HKEAA after 19 April 2024. The application of access arrangement is subject to Pearson's approval. Please note that the HKEAA does not guarantee all access arrangements requests will be approved and arranged. For enquiries, please contact the HKEAA for further assistance before submitting the registration.

 3.  Examination Dates and Fees

      Candidates are only allowed to apply for ONE examination level in the same examination series.

* The speaking test date is subject to the final candidature, availability of the examination venue and oral examiners. Candidates must reserve the examination date listed above for taking the speaking test before they submit the registration, no rescheduling of the speaking test will be arranged under any circumstance. The exact test date, time and venue for the speaking test will be printed on the admission form. Please note that no rescheduleing of the speaking test will be arranged. 
# Candidates will be informed of the examination date, time and venue in the Admission Form.  The examination schedule cannot be changed and candidates must make themselves available for the examination on the dates specified above. Assignment of examination venues is based on the candidature of the examination levels, availability of the examination venues. Candidates may be assigned to take the examinations at the examination centres located in Hong Kong Island / Kowloon / New Territories. Request for change of the examination venue due to personal reason will not be entertained.
@ Fees paid by a candidate who subsequently withdraws his / her entry, or is absent from the examination, or the examination is cancelled by the Examination Board in a later stage will NOT be refunded. Fees are NOT transferable to other centres, or from one examination to another / a later series or for other purposes.  In addition, the HKEAA will not offer the service of “Transferred Candidate” under any circumstance.
 *  Speaking Section of both Pearson English International Certificate – Young Learners and Pearson English International Certificate will be audio-recorded as per examination regulation.
 
4. Admission Form, Result and Certification

The Admission Forms stating the exact examination date, time and venue will be sent to school candidates through their schools or private candidates by post in early June 2024.  Candidates should contact the HKEAA by phone (3628 8787) or by email (ie@hkeaa.edu.hk) if they do not receive their admission form one week before the examination commences.  Examination results statement and certificate will be sent to school candidates through their schools or private candidates by post at the address provided in about 3 months after the examinations are concluded. Candidates who have not received their examination results statements and certificates should contact the HKEAA to track the delivery status within 5 months after mail; otherwise, the examination results statements and certificates will be regarded as successfully received by the candidates. Examination results statements and certificates unclaimed for 5 months after mail will be returned to Pearson without further notice. After that, request for lost or unclaimed examination results statements and certificates will have to be made directly with Pearson by the candidates as applications for replacement examination results statements and certificates. Fees will be charged by Pearson. Candidates should inform the HKEAA in writing of their new address and contact telephone number if their address has been changed. The HKEAA will not be held responsible for any possible loss, delay or damage in mail causing the need of requesting for replacement examination results statements and certificates. The HKEAA cannot reproduce replacement examination results statements and certificates in any form.

According to Pearson's guideline, the certificate and candidate performance report will only be issued to the candidates for who attend both Writing (Paper 1) and Speaking (Paper 2) Sections and get a passing grade. 

 
 
5. Personal Data
Personal data of candidates are used by the HKEAA and the Examination Board for delivery of examination and assessment services.  Whether you provide the requested personal data is voluntary. However, if you fail to provide all the data, or if any of the data are inaccurate or incomplete, the HKEAA may not be able to accept your entry or provide all or part of the examination and assessment services. The personal data submitted may also be used for:
(a) assisting tertiary institutions and government / public organizations in their admissions processes;
(b) assisting tertiary institutions and government / public organizations in respect of their requests for information in granting scholarships;
(c) assisting tertiary institutions and government / public organizations to confirm the candidates’ eligibility for financial assistance or other forms of subsidization, in which case, the necessary personal data of the candidates may have to be disclosed to the concerned organizations for verification;
(d) certifying candidates’ examination results in response to legitimate requests;
(e) processing any refund or payment in relation to the examination;
(f) conducting and assisting tertiary institutions and other government/public organizations to conduct educational research and analysis;
(g) conducting educational research and analysis in an anonymous format in which the identities of candidates are not traceable; and
(h) marketing the services and products of the Examination Board (including examination services, courses, events, publications, and other examination materials or resources) subject to the consent of the candidates.*

The HKEAA may also transfer the personal data of candidates to third parties for use for the above purposes or other directly related purposes, including government / public organizations, schools and educational institutions, banks (for processing refund or payment), and service providers providing various administrative or technical services to facilitate the delivery of the examination and assessment services including but not limited to data punching, registration process, dispatch of examination documents, and the capture, disposal or other processing of data.

In compliance with the Personal Data (Privacy) Ordinance, access to all personal data will be made available, on payment of a fee, to anyone who can establish his / her right to be informed of such data as are retained by the HKEAA.  Please also note that candidates’ personal data / correspondence / other information received by the HKEAA may be referred to the Examination Board concerned for delivery of examination and assessment services and for any of the abovementioned purposes or other directly related purposes. In general, upon completion of an examination or examination series and all connecting examinations services, the HKEAA will transfer all such data to the Examination Board who will then assume full control of such data.  By then, candidates should approach the Examination Board direct for their personal data / information handling policies if necessary.

*If you have given consent but wish to withdraw your consent for your personal data to be used for this purpose, please send a letter of request to the HKEAA.
 
6. Disclaimers

The HKEAA shall not be responsible for any non-performance of duties where such non-performance has been caused by an act of God, labour strike, natural disaster, adverse weather, epidemic, governmental action or intervention, riot or any cause not reasonably foreseeable and beyond the reasonable control of Pearson or the HKEAA.

The HKEAA, including their contractors and subcontractors, shall not be liable to anyone claiming for any damages which are caused by, arising from or otherwise related to the failure of staff members, examination personnel or the examination centres to comply with the examination regulations, policies or procedures.
