Instructions to Applicants

The Commonwealth Society of Teachers of Dancing (CSTD) Examinations are offered through the Hong Kong Dance Federation, and the Hong Kong Examinations and Assessment Authority (HKEAA) is appointed to administer the examination in Hong Kong.

The registration deadline is 30 Sep 2021 (5:30 pm). Candidates are advised to submit their entries early to avoid disappointment.

Registration is available online at during the registration period. A copy of the candidate’s Hong Kong Identity Card / Birth Certificate / valid passport / other identification document should be uploaded onto the system (for verification purposes only and will be destroyed after the completion of application procedures). Please note that the British National (Overseas) [BN(O)] passport is not accepted as a valid proof of identity for registration or examination admission.  

Applicants will be asked to make payment online as part of the registration process, alternatively, applicants could submit a crossed cheque by application deadline in person or by post, in which the date of complete registration shall be deemed the postmark date on the envelope.  Please ensure that sufficient postage is paid to avoid unsuccessful delivery.  The sender will bear any consequences arising from not paying sufficient postage.  The Authority cannot accept any responsibilities for any delay/loss in mail service or unsuccessful registration because of technical/ network failure. Upon successful application and payment, applicants can log in to their own account to view the registered examination(s).

Candidates requesting special arrangements should submit a written request together with a medical certificate at the time of registration. The application of special arrangement is subject to approval and the HKEAA does not guarantee all special arrangements requests to be approved and arranged. For enquiries, please contact the HKEAA for assistance before submitting the registration.

Teachers may obtain a set of the CSTD Examination Syllabus with details on the examination conditions, examination requirements, official uniform and age requirements etc, from the Hong Kong Dance Federation.
(a) Dual Entries: A candidate may not submit more than one entry in the same examination for the same subjects. Dual entries may lead to cancellation without prior notice. No refund of the examination fees will be made for the cancelled entries.
(b) Late Entry: No late entries will be accepted.
(c) Change of Subjects/Grades: Application for change of subjects/grades should be submitted at least two weeks before the original examination dates. If the application is accepted, a supplementary fee in addition to the examination fees will be levied for each entry. 
(d) Withdrawal: Candidates must submit written request to the Registration Office. Approval of withdrawal is at the discretion of the Examination Board. Once the request of subject withdrawal is processed, it cannot be revoked. No refund of examination fees and supplementary fees (if any) will be made.

Personal data of applicants/candidates are used by the HKEAA and the Examination Board for delivery of examination and assessment services.  Provision of the requested personal data is voluntary; however, if you fail to provide all the data, or if any of the data is inaccurate or incomplete, the HKEAA may not be able to accept your entry or provide all or part of the examination and assessment services. The personal data submitted may also be used for:

(a) assisting tertiary institutions and other government/public organizations in their admission processes;

(b) assisting tertiary institutions and other government/public organisations in respect of their requests for information in granting scholarships;

(c) assisting tertiary institutions and other government/public organisations to confirm the candidates’ eligibility for financial assistance or other forms of subsidization, in which case, the necessary personal data of the candidates may have to be disclosed to the concerned organisations for verification;

(d) certifying candidates’ examination results in response to legitimate requests;

(e) processing any refund or payment in relation to the Examination; 

(f) conducting educational research and analysis in an anonymous format in which the identities of candidates are not traceable; and

(g) marketing the services and products of the Examination Board (including examination services, courses, events, publications, and other examination materials or resources) subject to the consent of the candidates.*

The HKEAA may also transfer the personal data of candidates to third parties for above purposes or other directly related purposes, including government/public organisations, schools and educational institutions, banks (for processing refund or payment), and service providers providing various administrative or technical services to facilitate the delivery of the examination and assessment services including but not limited to data punching, registration process, dispatch of examination documents, and the capture, disposal or other processing of data.

In compliance with the Personal Data (Privacy) Ordinance, access to all personal data will be made available, on payment of a fee, to anyone who can establish his/her right to be informed of such data as are retained by the HKEAA. Please also note that candidates' personal data/correspondence/other information received by the HKEAA may be referred to the Examination Board concerned for delivery of examination and assessment services and for any of the abovementioned purposes or other directly related purposes. In general, upon completion of an examination or examination series and all the connecting examination services, the HKEAA will transfer all such data to the Examination Board who will then assume full control of such data. By then, candidates should approach the Examination Board directly for their personal data/information handling policies if necessary.

*If you have given consent but wish to withdraw your consent for your personal data to be used for this purpose, please send a letter of request to the Registration Office.


(For Private Candidates) 

Admission forms will be sent to private candidates by post. Candidates who have not received their admission forms two weeks before the commencing date of the examination MUST contact the Registration Office.

(For School Candidates) 

Admission forms will be sent to school candidates through their participating schools /organizations. Candidates who have not received their admission forms two weeks before the commencing date of the examination MUST contact their participating schools /organizations or the Registration Office.

The examination venue, date and local examination starting time for each examination will be indicated on the admission form, as well as personal particulars. Candidates should check if personal particulars are correct, for these will be shown on certification of results.
Mark reports will be made available for collection around 2 months after the examination and should be kept in safe custody as no replacement for mark sheet can be arranged.

Certificates will be made available for collection around 3 months after the examination, for candidates passing the examination.

The HKEAA will keep candidates' information and result for one year from the date of exam and no replacement for certificate will be arranged thereafter.

Please note that neither the Examination Board nor the HKEAA will be responsible for any non-performance of duties where such non-performance has been caused by an act of God, labour strike, natural disaster, adverse weather, epidemic, government action or intervention, riot, or any cause not reasonably foreseeable and beyond the reasonable control of the Examination Board or the HKEAA.

The HKEAA, including their contractors and subcontractors, shall not be liable to anyone claiming for any damages which are caused by, arising from or otherwise related to the failure of staff members, examination personnel or the examination centres to comply with the examination regulations, policies or procedures. All fees paid are not refundable and not transferable from one examination to another or from one candidate to another or for any other purposes.
